Enter a Transfer

Use this program to transfer regular, as-is, and floor sample inventory between stores and/or warehouses. You can also use this process to maintain automatic transfers created during sales order processing.

If creating an as-is transfer, you must select a specific as-is piece to transfer. The piece you select must already exist in as-is inventory. If creating a floor sample transfer, select the product you want to move from regular inventory to As-Is floor sample status. Note that for cycle count purposes, we recommend you re-print labels for items moved to or from As-Is inventory.

To edit an existing transfer, enter the transaction number. To create a new transfer, click the (Plus) button. If auto-numbering is active for transfer numbers, the system automatically assigns the transaction number. If the Next Point of Sale/Service Transaction field is blank in your Point of Sale Control Settings, the Transaction Number Entry screen displays where you can assign the transaction number.

To view an existing transfer, enter its transaction number. If you click on the Search button, a menu appears with the following options you can use to search for an existing transfer:

If the Automated & Manual POS Numbers feature is active in the Warehouse/Store Location Settings you have the option of manually assigning an order number or letting the system automatically generate a number for you.

General

If you need to make corrections or quantity adjustments to this transfer, make them BEFORE selecting the Complete Transfer option. Once the transfer completes, the system closes the transfer, moves it to history, and you can no longer access it using this process.

To enter comments, click the Actions button at the bottom of the screen and select Sales Order Audit Text. After you select this option, the Update Sales Order Comments (Sales Order Comments) screen displays. Also available from the Actions menu is the Additional Comments option, which provides access to the User Text Entry window where you can enter additional text comments.

If the Store to Store Transfers field in the Point of Sale Control Settings is enabled, you can create transfers to and from store locations. If that option is not enabled, the system prevents you from entering store locations in both the To and From locations on transfers.

The ability to create a transfer may be affected by your settings, including the following:

-TRANSFERS - Use Transfer Security Tables setting on the Additional Settings tab in Inventory Control Settings.

Indicate the type of transfer to create. Select one of the following:

Stock if transferring regular, saleable inventory between stores and/or warehouses.
As-Is if transferring As-Is inventory between stores and/or warehouses. As-Is inventory must already exist in inventory at the store/warehouse.
Floor Sample to take a saleable piece from a warehouse location and (upon completion of the transfer) automatically move the piece into as-is inventory with the specified floor sample reason code (determined by the Floor Sample field in the Inventory Control Settings [Inventory Control ACF]).
Auto Transfer if accessing a transfer that was created automatically via Enter a Sales Order processing.
Move to As-Is to transfer saleable inventory to a store or warehouse and, in the process, change the status of the pieces to as-is. If you select this option, you activate the Reason Code field below, at which you must specify a reason for the "move to as-is". Note that if you select this transfer type, you cannot select as-is pieces for transfer.

To complete the transfer process and close the transfer order, check the box. The completion process moves the pieces from one warehouse or store to another. Click on Save to process the transfer. You can now initiate the invoicing process.

Note that if the Assign Specific Pieces field in the Point of Sale Control Settings is set to Creating Pick List, you must first generate a pick list for this transfer order. You create pick lists when the warehouse is ready to print a transfer pick document for a store, prior to generation of the pack list and transfer completion.

Note also that the system provides the option to generate a pack list. When your drivers arrive at their delivery destination, they can use the packing list to expedite the acknowledgment of the transferred merchandise.

This check box is inactive until all pre-conditions are met, including when the Print Transfer Ticket check box has been checked.

This process checks the user's security settings to see if the user is allowed to Complete Merchandise Transfer and Complete Transfer from Receiving Location Only in Create a User/Group Actions - Logistics Security.

Check this box to print the transfer ticket. This check box is active if all criteria to print the transfer ticket have been satisfied.

The availability of this option depends on the satisfaction of criteria outlined in Print a Delivery/Pick-Up/Transfer Ticket. Additionally, the user must have permission to use this option via the user's security settings in Create a User/Group Actions - Logistics Security. If the user does not have permission, this option cannot be accessed even if the criteria outlined in Print a Delivery/Pick-Up/Transfer Ticket are satisfied.

Enter the location code of the store or warehouse from which the merchandise is being transferred. If you click on the Arrow, you can choose a location from the menu that appears.

The locations available to you may be affected by Regional Processing restrictions and by the Inventory (Region) settings on the Location Restrictions tab in Create a User/Group.

Delivery Information

If you leave the Route Code field blank, the system assigns the applicable route that is indicated in either the Warehouse Location or Zip Code file. If no route defaults are established in the Warehouse Location or Zip Code files, you can either enter the Route Code for this transfer or leave the field blank. Click the Arrow button at this field to select from a list of transfer route codes.

Enter the date on which you want the transfer to occur. If you click on the Calendar Icon, a calendar appears from which you can select a date.

If you left the Transfer From field in Logistical Route Settings blank, the calendar displays all dates as available. However, once you select a date, the system checks your Route Capacity Settings and Route Capacity Control Settings to determine whether or not the route is full (reached maximum stops, etc.).

Merchandise

Enter the code of the product you want to transfer. If you click on the Search button, a menu appears with the following options to help you locate your product:

If you click on the Action button, you access the Special Order Entry screen, where you can create a special order product on-the-fly, provided you have security clearance.

After you select a valid product, the product's description displays from the Product settings.

The option to access the special order entry screen from the Action button at the Product field depends on whether you have security clearance via the Create special order products within POS entry field in your User/User Group settings.

If you enter a hard kit, the grid displays the hard-kit master as well as the individual components.

After adding a product to the transfer order, the line is checked to ensure the route capacity has not been exceeded. If exceeded, a warning displays "Route X is full for MM/DD/YYYY. Do you wish to override the capacity limit?". If Yes is selected, the capacity limit is overridden, which requires permission found in Override capacities when scheduling routes that are full in Create a User/Group Actions - Logistics Security; if No is selected, the line is added to the grid as unscheduled. The warning appears every time merchandise is added or changed that causes an increase to route capacity. If the added or changed merchandise reduces the already exceeded route capacity, no warning appears, even if the reduction still results in over capacity.

The products you select appear in the grid, along with product availability and pricing information. Any one of the following may appear in the Status column:

A – As Is
C – Linked to a COM
H – Line on Hold
P – Linked to a PO
S – Linked to an open service order
T - Displayed line item to be filled by multi-leg transfer
U - Unscheduled; used with line item delivery to indicate that some quantity of the item is currently unscheduled
W – Linked warranty
X - Multi-leg transfer to fill another transfer

Build From Storage Location - This option is available only when you are creating a new stock or floor sample transfer. You can use this option to automatically populate the line items to be transferred based on available stock in storage locations that you specify. When you click the Action button and select this option, you access the Multiple Storage Location Selection Window, where you can indicate one or more storage locations. After you finish listing the storage locations and click the OK button, the system uses the list to create transfer line items for all available merchandise at these storage locations. The grid on the transfer Merchandise tab is updated with these line items, which you can then select and modify, if necessary.

Once the first transfer line has been entered, this extra action is disabled.

- The transfer order comments are updated to show each product code and quantity automatically added from the specified storage location.

- Like products are grouped together by storage location.

- Special order products in these storage locations are checked so that only products with the same special order details are grouped together.

- Pieces are automatically assigned to the line item.

- In the event a piece cannot be assigned, the product’s order quantity is reduced.

- Products that cannot be assigned are not added to the transfer.
