Batch Bar Code Receiving

These instructions show you how to utilize routines and scanners to receive merchandise via barcode label scanning. Processes to be completed using STORIS menu options are indicated with the STORIS logo. Those functions you perform on the scanner are indicated with an image of a bar code scanner device.

Steps: Assign Orders to Batch; Scan Received Merchandise; Send Data to STORIS; Update Batch

Assign Orders to Batch

 

  1. In STORIS, select Assign Purchase Orders to a Bar Code Receiving Batch from the menu.

  1. Indicate the location and print method information.

  2. Click the New Batch button above the grid to create a new receiving batch.

  1. Enter the receiving information via Bar Code Batch Maintenance.

  1. Assign Batch: Check the box at this field.

  2. Purchase Order: Indicate the purchase order to be added to the batch. You can click the Search button to locate purchase orders by vendor.

  3. The Bar Code PO Line Entry screen displays. Use this screen to change the scheduled quantity to be received and indicate that labels are to be printed.

  1. Once all PO receiving information has been entered, click the Save button on the Assign Purchase Orders to a Bar Code Receiving Batch screen.

  2. The Barcode Download/Upload Status Screen displays.

  1.  Assign Batch To: Indicate the user(s) logging in to the scanner.

  2.  Click the Exit button.

  1. Bar code labels print for the selected items.

  2. On the Assign Purchase Orders to a Bar Code Receiving Batch screen, click the Save button.

Scan Received Merchandise

  1. Log in to the scanner by selecting STORIS Batch Barcode on the scanner screen.

  2. The Login screen displays.

  1. Warehouse ID: Select the receiving location from the drop-down list.

  2. User ID: Select the STORIS login user from the drop-down list.

  3. Password: Use the keypad to enter the STORIS login password (established in STORIS Create a User settings).

  4. Select Login.

  1. The Main Menu displays on the scanner.

  2. Select Communication from the Main Menu.

  1. Select Get Data from the Communication screen.

  2. A "Get Data Completed" message displays Data has been downloaded for the following tasks: Warehouse Receipts.

  3. Select OK in the message window.

  1. Select Main Menu.

  2. Select Batch Menu.

  3. Select Warehouse Receiving.

  1. The To Receive quantity is filled in on the Warehouse Receipts screen.

  2. Scan a storage location: Scan the storage location label. The storage location fills in. (ex. DOCK)

  3. Scan a received item: Scan the inventory barcode label. The label number fills in.

  4. Scanned: The count updates when the inventory barcode label is scanned.

If a label is scanned twice, a message displays on the scanner warning Duplicate Label Scan. That label has already been scanned. Would you like to remove it? Yes No. If you answer Yes, the label is removed from the Scanned count.

  1. Scan labels for all merchandise scheduled on the receiving batch.

  1. If scanning bulk product labels, see the following.

Scanning Bulk Products - When you scan a bulk product label, the Enter Bulk Quantity screen appears and the Barcode Label ID is displayed. The Quantity defaults to 1. To enter the quantity of that bulk product to count for that storage location, enter the quantity on the scanner's virtual keypad and then click OK. The Scan Count shows the number of labels scanned.

For example, your Scan Count shows 4. You then scan the bulk product label and enter a bulk quantity of 10 for that product. The Scan Count still only increments by 1 because you scanned one product label. So your Scan Count now shows 5.

If you scan the same bulk product label again, three buttons appear on the keypad: Add, Upd, Cancel. In our example, you entered a quantity of 10 pieces but now need to add 2 more pieces. Click the Add button to add to the quantity you entered previously, making the quantity now 12. Click the Upd button to update the quantity entered or Cancel to leave the quantity as is and cancel the additional scan.  

  1. When finished scanning select Batch Menu, and then select Main Menu.

Send Data to STORIS

  1. When ready to send scanned data to STORIS, select Communication from the scanner's Main Menu.

  1. Select Send Data.

  2. A “Send Data Completed" message displays: Data successfully sent.

  3. Select OK in the message window.

  1. To log off the scanner, select the Main Menu, and then click Log Off.

  1. On the Login screen, select Exit Pgm.

Update Batch

  1. In STORIS, select Assign Purchase Orders to a Bar Code Receiving Batch from the menu.

  1. Indicate the receiving location.

  2. From the grid, select the batch that has been received.

  3. Verify that all received quantities are correct.

  4. Confirm received quantities by product, by selecting the PO line from the grid and clicking the Add button.

  5. Click the Save button when finished verifying received product quantities.

  6. Click the Save button on the Bar Code Batch Maintenance screen when ready to update the batch.

If all items in this batch have not been received, a confirmation message displays: This Barcode Receipt is INCOMPLETE! Process receiving batch. Yes No. If you answer Yes, the received quantities on the purchase order(s) are updated, but the batch remains open for further receiving. You can return to that batch at a later time and complete the receiving (see instructions above). If you answer No, the purchase order received quantities are not updated and the batch remains open for further receiving. ( If you answer Yes, then return to the batch to receive the remaining pieces, no additional processing or deletion messages display. You must use the Delete button when finished receiving to delete the batch.)

  1. Click Save on the Assign Purchase Orders main screen.

  2. If the batch is fully received, a confirmation message displays when Save is clicked: Transaction ready for processing! Processing receiving batch? Yes No.

  3. Click Yes to update the batch or No to return to the Assign Purchase Orders main screen.

  4. If Yes was answered to update, the system prompts: All lines in this batch have been processed. Delete Batch? Yes No.

  5. Click No in order to retain this batch information for reporting purposes. If you answer No, the information is available for the Report Barcode Receivings.

  6. If you click Yes to delete the batch, it is deleted from the grid and the information is not available when you run the Report Barcode Receivings.

  7. Receiving activity can be viewed using View Detailed Activity for a Product and View a Purchase Order.
