STORIS provides two methods of restricting access to data available via the Report Builder :
the Access field in the Create a Report screen
Report Builder Security
The first method is based on the creator of the report (that is, the log-on user when the report was created). The creator has three options at the Access field through which to restrict access to the report:
Anyone can run the report (no restriction)
Only users with the same staff type as the creator can run the report
Only the creator of the report can run it
You can combine this simple method with the more complex Report Builder Security method to restrict access to Report Builder data. The two methods are mutually exclusive. That is, you can use them together or separately.
To enable Report Builder Security, check the box on the Security tab of the General System Control Settings. Report Builder Security allows you to restrict, by source files and/or individual fields, your employees' access to the data in Report Builder reports. For example, for a selected employee, you can
prevent the employee from accessing any Report Builder reports that reference the SALES.ORDER file, and/or
exclude the data from a selected field (for example, the Product Number field) from appearing on a selected report. That is, when the employee runs the report, the column header appears but the column is empty.
Report Builder Security restrictions do not apply to regular STORIS reports.
The following two routines are available via the Manager/File Maintenance menu. You use these routines to specify the Report Builder data you want restricted:
Establish Report Builder Security Groups - restricts access to reports containing data from source files from which the log-on user has been restricted.
Establish Report Builder Security Codes - blocks data from fields from which the log-on user has been restricted from appearing on reports.
Initially, all employees are restricted from the files and fields you specify in the above routines. You use the Staff file to override some or all of the restrictions for selected employees, allowing them access and restricting the other employees.
Each time you create a new staff member in the Staff file, you assign the staff member a staff type. When you specify the staff type for a new employee, STORIS automatically transfers the settings at the File Security Group and Field Security Codes fields in the employee's Staff Type file to his Staff file record . This can save you time when setting up the employee's Report Builder Security.
