Apply Payments From Finance Provider

Use this program to apply money received to outstanding
finance receivables. If using the Auto-Pay Post Bank field in the
Finance Provider Settings
(Finance Provider file), transactions posted to Finance Receivables are
assumed to be paid in full. Payments and customer returns are automatically
applied and the transactions are therefore closed.
You can also use this process to post on-account monies and move on-account
monies from one payment type to another. If not using the Auto Post option,
you must run this program to apply the payments to open finance receivables.
Transactions can change in the time between when a process is entered
and updates are saved. When saving, the system checks for transaction
changes, particularly the application of on-account monies that are no
longer available as well as cash applications in which the balance has
changed to make the payment invalid. If found, the system brings you back
into the process where you can make changes. Invalid transactions display
as an alternate color in the grid.
This routine may be affected
by Regional Processing restrictions.
That is, you may not have access to all customers and locations.
STORIS does not permit an order reference number to appear multiple times
in a single FR batch. Thus, for orders with multiple partial completions
on the same date, the system assigns each additional partial to a succeeding
date until all have their own FR batch date. When the date of each
arrives, you can apply the money.
Selection
Deposit DateThe current
system date will be offered as the default. A different date may be entered
here to be used as the posting date. This field will not accept entry
of a future date.
Bank NumberEnter
the bank code representing the bank where funds are to be deposited. Click
the Search button to access a
list of valid Bank Settings
(Bank Master) codes.
Store LocationEnter
the code for the location at which the payment was received. The default
location from the log-in
screen appears, if any. You can override the default response.
If you click on the Arrow, you can choose from the drop-down list of locations
available to you. Note that here
and at any other Location field, the locations you see (that is, the list
of locations available to you) may be affected by Regional
Processing restrictions.
Check/Voucher NumberEnter
the check or voucher number to reference this payment. This field will
accept up to ten alpha/numeric characters.
Amount
DepositIf the
Next Deposit Number field in the Financing
Control Settings (Finance Receivables ACF) contains a value, this
number will fill in automatically. If not automatically assigning deposit
numbers, enter the number to be used as an internal reference for this
deposit.
Filter Selection
FilterThe entry
in this field is determined by the value in the Filter Selection field.
If 0/No was selected in the Filter Selection field, this field will not
be available for entry. If Customer Code was selected as the filter, enter
the customer account code in this field in order to search for batches
for this customer account number. If Name was selected as the filter,
enter the customer name in this field in order to search for batches for
this customer name. If Reference was selected as the filter, enter the
reference number in this field in order to search for batches with this
transaction reference number. If House Account was selected as the filter,
enter the finance/house account number (number assigned to customer by
finance company) in this field in order to search for batches for this
finance account number.
Select BySelect
Payment Type if batches will be
selected by a specified payment type. Select Finance
Provider if batches will be selected by a specified provider of
financing.
Payment TypeIf Payment
Type was selected at the Select By field, enter the payment type to which
the funds are to be applied. If a payment type is entered here, the Finance
Provider is available for entry.
Finance ProviderIf Finance
Provider is selected at the Select By field, enter the ID of a valid finance
provider to which the funds are to be applied. If no batch exists
for the provider, the Enter
On Account Payment Type window appears giving you the option to allow
payments to be applied on account.
Once you have entered all the information
required on the Selection tab
of this screen, the Batch
Selection Screen appears where you can select specific Batch
ID's or select All batches.
Completion of this screen activates the Apply tab.
If a large number of open batches exist, selecting all batches for a provider
may take time to compile the list of information to present. If
the number exceeds 1,000, you are presented with a message and you can
either proceed or return to the Selection tab by clicking Cancel.
Apply
AppliedThe running
total of all money applied in this entry session displays. As funds are
applied, the amount is deducted from the Proof and/or On Account Available
amounts and added to this field.
AdjustmentThe running
total of all adjusted amounts ("written off") entered in this
session displays. Amounts added to this field are NOT deducted from the
Proof amount.
ProofInitially,
this is set to the Amount received from the finance provider. As the money
is applied and/or placed on account, the Proof amount is reduced by the
transactions entered. The Proof amount must be zero to complete the process.
On Account AvailableThis is
the On Account money available for the Payment Type selected. On account
funds can be applied to open finance receivables.
Reference
Amount ReceivedThis is
the dollar amount to be applied to the selected transaction, or if applying
on account money ONLY, this is the amount being placed on account. The
amount being applied can be from one or a combination of several sources:
money received from the finance company (entered at the Amount field on
the Select screen), on account money previously posted, and/or a previously
posted credit. If 0.00 was entered in the Amount field on the Select screen,
this field defaults the amount due for the transaction selected.
Adjustment AmountWhen applying
funds to a specific line item, if the entire open amount is not posted,
this field provides for an adjustment to be made that affects the item’s
balance, but does not affect the Proof amount. Enter the amount to be
"written off" in this field. This amount is posted to the Finance
Receivables Adjustments G/L account.
On Account ReferenceThis field
is used to enter text referencing the on account transaction. The field
automatically displays a default reference of Cash
App Adjustment, but this can be changed. Up to 20 characters of
text can be entered in this field.
DisputeSelect
this option to place the selected item in dispute status. If the transaction
is in dispute, the flag can be cleared only if the flag was set in the
current session (Dispute column shows an asterisk *).
If the item was placed in dispute in a previous session (Dispute column
will display Y), the dispute status
may not be removed using this process. (Use Manual Posting Entry program
to remove an item from dispute.) Funds may not be manually posted to an
item in dispute.
