View and Manage Open Orders

Use this routine to view and manage open sales orders and transfers. Using the same prompts and varying the selections, you can access four different views from this process. They are: Sales Management, Delivery Management, Wholesale Order Management, and Transfer Management. Service orders are excluded from all filters on this screen.

If the Sales Security Access setting on the Advanced page of Point of Sale Control Settings is enabled (checked), user settings defined in the View All Sales Information setting in Create a User/Group Actions - Sales Security determine whether you can view your own sales data, only sales data for your login store, or access all sales data.

Use this mandatory field to indicate the type of order you want to view and manage. Click the Arrow button to select either Sales Orders, which includes all sales transactions (sales orders, returns, exchanges), or Transfers, to restrict the selection to all transfer orders.

If you selected Sales Orders as the order type, you can check the box at this field to include layaway transactions. If you leave the box blank, layaway orders are excluded from selection.

This field is active if you selected Sales Orders at the Order Type field and if no locations are selected at the Selling Location prompt. Use this field to select transactions for one or more districts. Click the Arrow button to select a district code, or click the Action button to access the Multiple District Selection Window, where you can select multiple district codes. Only districts to which you have access are available for selection.

The District and Selling Location prompts are mutually exclusive. Once you make a selection at one, the other becomes inactive.

This field can only be used in conjunction with the Delivery Management extra action button on this screen.

If you would like to calculate the Available to Promise Back-order Quantity (ATP BOQ) and Available to Promise Days (ATP Days E (-)/L(+)) columns in the Delivery Management View, check this box. Otherwise, leave the box blank.

This field is active if you selected Sales Orders at the Order Type field and if no districts are selected at the District prompt. Use this field to select transactions for one or more selling locations. Click the Arrow button to select a location code, or click the Action button to access the Multiple Location Selection Window, where you can select multiple location codes. Only locations to which you have access are available for selection.

This prompt is active when you select Sales Orders at the Order Type field. Use this prompt to filter your selection by one or more salesperson codes, or leave blank to select transactions for all salespeople. Click the Search button to access the Multiple Selection Lookup Window window, where you can select one or more salesperson codes. Click the Action button to access the Multiple Salesperson Selection Window, where you can select multiple codes.

If you select Sales Orders as the Order Type, you can use this field to filter your search for transactions by all, one, or multiple ship-from locations. If you select Transfers as the Order Type, you can use this field to filter your search by all, one, or multiple transfer-from locations. To select all locations, leave this field blank. Click the Arrow button to select a location from the drop-down list or click the Action button to access the Multiple Location Selection Window, where you can select multiple ship-from/transfer-from locations.

You can use this field to filter your search for transactions by delivery/transfer route. If you selected Sales Orders as the Order Type, only delivery routes are available for selection at this prompt. If you selected Transfers as the Order Type, only transfer routes are available for selection. To select all delivery/transfer routes, leave this field blank. Click the Arrow button to select a route code from the drop-down list or click the Action button to access the Multiple Route Selection Window, where you can select multiple route codes.

This prompt is active when you select Transfers as the Order Type. Use this field to filter your search for transactions by transfer-to location. To select all locations, leave this field blank. Click the Arrow button to select a location from the drop-down list or click the Action button to access the Multiple Location Selection Window, where you can select multiple transfer-to locations.

You can filter your search to include or exclude orders with back-ordered quantities, or you can include all orders. Click the Arrow button to select one of the following:

All - include all orders regardless of back-order/fill status.
Back Orders - include only orders with back-ordered quantities.
Full Orders - include only filled orders and exclude orders with back-ordered quantities.

If you selected Sales Orders as the Order Type, you can use this field to filter your search for transactions by delivery contact status. Click the Arrow button and select All to include all contact status codes, or select a contact status from the drop-down list.

If you selected Sales Orders as the Order Type, you can use this field to filter your search for transactions by type of delivery. Click the Arrow button and select All to include all delivery types or select one of the following delivery types.

Deliveries - include delivery orders only
Pickups - include customer pickups only
Direct Ships - include direct ship orders only

If you selected Sales Orders as the Order Type, you can use this field to filter your search for transactions by delivery status. Click the Arrow button and select one of the following options.

All - all orders regardless of delivery status
D - only orders with estimated or scheduled dates
SCH - orders with scheduled dates only
EST - orders with estimated dates only
ASAP - "as soon as possible" orders only
CWC - "customer will call" orders only

This prompt is active for both order types (Sales Orders and Transfers), but for Sales Orders it is active only if you selected a Delivery Status of D, SCH, or EST. To filter your search for transactions by delivery date, click the Arrow button and select one of the date codes listed in the drop-down. In addition to the standard date codes, the following options are also offered.

NND (next number days) - Use this option to determine the End Date by adding a specified number of days to the Start Date. If you select this option, the Next Number Days field is activated, the Start Date is set to the current date + 1 day, and the End Date field is inactive.
PAST (past dates) - If you select this option, your search for transactions includes all orders with a delivery date before the current date.

If you select NND as the Delivery Date Type, this field is active. Use this option to determine the End Date using a specified number of days. Enter an integer between 0-99 to indicate the number of days to be added to the Start Date. The End Date is calculated based upon the Start Date plus the number of days you enter here. If you change the Next Number Days or Start Date fields, the End Date is recalculated.

If you select CUS or NND at the Delivery Date Type field, this field becomes active. Specify the start date in a range of delivery dates on which to search for transactions. If you click on the Calendar Icon, you can select a date from the calendar that appears. If you select a code other than CUS or NND, this field fills in and is not available for change.

If you select CUS at the Delivery Date Type field, you activate this field. Use this field to specify the end delivery date of the custom date range for which you are viewing transactions. If you click on the Calendar Icon, you can select a date from the calendar that appears. If you selected NND as the date type, this field is calculated by adding the Next Number Days to the Start date, and is not available for change. If you select another date code, this field fills in based on that selection and you cannot edit this field.

To filter your search for transactions by order date, click the Arrow button and select one of the date codes listed in the drop-down.

If you select CUS as the date type, you activate this field. Use this field to specify the start date of the custom order date range for which you want to search for transactions. If you click on the Calendar Icon, you can select a date from the calendar that appears.

If you select another date code instead of CUS, this field fills in based on that selection and you cannot edit this field.

If you select CUS as the date type, you activate this field. Use this field to specify the end date of the order date range for which you want to search for transactions. If you click on the Calendar Icon, you can select a date from the calendar that appears.

If you select another date code instead of CUS, this field fills in based on that selection and you cannot edit this field.

Extra Action Buttons

Once you have selected filters using the fields above, you use the following buttons to access open order/transfer information.

	To access the Sales Management View screen where you can view a summary of open orders, with the option to view/edit selected orders, click this button.
	To access the Delivery Management View screen where you can view delivery/pickup information for open orders, with the option to view/edit selected orders, click this button.
	To access the Shipping Management View screen where you can view shipping information for open orders, with the option to view/edit selected orders, click this button.
	To access the Transfer Management View screen where you can view a summary of open transfers, with the option to view/edit selected transfers, click this button.
