Vendor Name Search

Access to this screen may be restricted by the View Vendor Name/Model field in the User and/or User Group files.

In order for a vendor to display in the result list, the box at "Display in Vendor Name Search" field in Vendor Settings must be checked.

Use this field to filter the results of the Vendor Name Lookup. Enter the code of a vendor class. If you click on the either the Arrow or the Action button, a list of vendor classes appears from which you can choose one or more.

Once you specify one or more vendor classes at this field, the Classes field activates below, via which you specify whether to include the vendors from the selected vendor classes in your search results, or to exclude them.

Entering a vendor class does not produce search results. To generate search results, you must enter a vendor name, phone number, or "starts with" string. The program then filters the results by your entry (if any) in the vendor class fields.

For example, assume you enter "R" at the Starts With field and the search finds 10 vendors. If you then enter a vendor class code here and select Include at the Classes field, the system system filters the search to include only the vendors starting with "R" who are associated with the selected vendor class.

You can specify a default response to this field via the Purchasing Control Settings.

Use this field to specify whether to include the vendors from the selected vendor classes in the search results, or to exclude them. This field is active only if you select one or more vendor classes at the Vendor Class field above.

Once you enter a response at one of the following three fields, you inactivate the other two.

Soundex

The Vendor Name field uses the Soundex method to search the database. Soundex returns names that sound like the search criteria, as opposed to an alphanumeric search, which returns names that have the same letters or numbers as the search criteria you entered.

For example, if you enter SMITH as the vendor name, the system returns all vendor records with last name Smith, as well as any last names that sound like Smith (for example, Schmidt or Smitty). An alphanumeric search of SMITH returns only those records spelled exactly like Smith (that is, not Smyth or Smithe).

The system searches all words in the vendor name, left to right, until it finds a word that matches the search criteria. If no words in the vendor name match the search criteria, you can try different search criteria or you can use the Starts With or Phone fields to find your vendor.
