Account Statement Cycling Control Settings

Use this routine to specify your preferences for
Accounts Receivable Cycle Process, including preferences for the Cycling
process.
Some system control settings are personnel only.
General Tab
Number of Grace Days(LOCKED
- STORIS access ONLY!) Enter the number of grace days for A/R transactions
(that is, the number of days before you want to assess service charges).
The program adds the grace days to the due
date, which then determines when to calculate interest and when to
add service charges.
Statement History RetentionEnter
the number of statements you want to retain in history for each account.
Statement FormSelect
the printing format for statements. for a
description of the options.

Print Purchase Detail
Generate Zero Balance StatementsSelect
this option to generate zero balance statements, regardless of activity.
This setting overrides the Suppress Zero Balance Statements With Activity
field. If you leave this field blank, you can use the Suppress Zero Balance
Statements With Activity field to suppress zero balance statements with
activity during the current period.
Suppress Zero/Credit Balance Statements With
ActivityUse this field to suppress
printing zero balance statements with activity during the current period.
If the Generate Zero Balance Statements field is active, zero balance statements
with activity will print and this field will not be accessible for change.
Cycle Inactive AccountsSelect
this option to cycle all accounts, regardless of activity, during the
End of Day process on the account's cycle date. If this option is not
selected, the system will cycle only those accounts that have had activity
since their last cycling. STORIS recommends leaving this field un-selected.
Hold Credit Balance StatementsSelect
this option to place credit balance statements on hold. The statements
are generated with a hold status. When printing statements the operator
has the option to print these statements separately, or with regular statements.
The hold statements print first. If this option is not selected, credit
balance statements are generated with a regular status and print with
all other statements.
Suppress Dollar Signs on Revolving StatementsTo format
dollar figures without the dollar sign when printing revolving statements,
check this box. To format dollar figures to include the dollar sign when
printing a revolving statement, leave this box blank.
Suppress Revolving Plans with Zero Balances and
No Activity from StatementsTo exclude
revolving plans with zero balances and no activity when printing revolving
statements, check this box. To include revolving plans with zero balances
and no activity when printing revolving statements, leave this box blank.
Remit-to Flag
Remit Address line OneIf Global
was selected at the Remit to Flag, use this field to enter the first line
in the remit to address, such as the company name.
Remit Address line TwoIf Global
was selected at the Remit to Flag, use this field to enter the second
line in the remit to address, such as the street address.
Remit Address line ThreeIf Global
was selected at the Remit to Flag, use this field to enter the third line
in the remit to address, such as the PO Box.
Remit Address line FourIf Global
was selected at the Remit to Flag, use this field to enter the fourth
line in the remit to address, such as the city, state, & zip code.
Use the following six fields (that is, Auto Assign
Due Date, Default Due Day fields, and/or Cycle Schedule) to specify your
preferences for the Cycle
process.
If you edit any of the following six fields (that is, Auto Assign Due
Date, Default Due Day fields, and/or Cycle Schedule), the changes you
make do not affect existing customers. The changes affect only customers
created after the changes were made. Also note that when entering a due
day, the maximum number the system accepts is 28.
Due days specified by location
override due days you specify globally via this routine.
Auto Assign Due DateTo automatically
assign the due date to customer accounts, check the box at this field.
If you leave the box blank, operators must manually assign a due date
using the 1st of the month through the 28th.
This field is active only if you select Daily at the Cycle Schedule field.
Default Due Day
Due Days 2, 3, and 4If you
select Table at the Cycle Schedule field, use these fields to enter default
days 2, 3, and 4 for use with the Default
Due Day Table.

Messages Tab
The text fields on this tab accept 4 lines of 50 characters each, for
a total of 200 characters for each text field. However, if you print
to a destination other than the Forms
Designer (for example, to a STORIS standard print form), only the
first 50 characters will display on the printed document.
Global MessageUse this
field to enter a global message you want to appear on all statements.
This message prints on the first line of comments on the statement.
Credit BalanceUse this
field to enter the message you want print on credit balance statements.
This message prints on the second line of comments on the statement.
Current BalanceUse this
field to enter the message you want to print on statements for which a
current balance due exists. This message prints on the second line of
comments on the statement.
Overdue MessageUse this
field to enter the message you want to print on statements with
an overdue balance of 1 to 30 days. This message prints on the second
line of comments on the statement.
Overdue +30 daysUse this
field to enter the message you want to print on statements with a balance
overdue by 31 to 60 days. This message will print in the second line of
comments on the statement.
Overdue +60 daysUse this
field to enter a message that will print on all statements that have a
balance overdue by 61 to 90 days. This message prints in the second line
of comments on the statement.
Overdue +90 daysUse this
field to enter the message you want to print on statements with a balance
overdue by 91 to 120 days. This message prints in the second line of comments
on the statement.
Overdue +120 daysUse this
field to enter the message you want to print on statements with a balance
overdue by more than 120 days. This message prints in the second line
of comments on the statement.
If a customer account has multiple balances overdue, the system
prints the oldest balance message. For example, if an account has a current
due balance and a balance overdue by 60 days, the system displays the
Overdue +60 days message on the second line of comments on the statement.

Create XML for Revolving Statements and Export To
Maximum Number of Customer Statements Per XML FileTo limit
the number of revolving statements in a single XML file, enter the maximum
number of statements you want per file. This field applies only to revolving
statements that are sent to a shared NFS drive for later printing. You
can use this field to accommodate high-volume statement runs and speed
up processing by creating multiple XML files. If you specify a number
here, the system automatically appends a sequence number to each file
name during the statement process. If you leave this field blank, only
one XML file is produced when you generate revolving statements for export
to a shared network drive.
Create XML for Installment Statements and Export To
Maximum Number of Customer Statements Per XML FileTo limit
the number of installment statements in a single XML file, enter the maximum
number of statements you want per file. This field applies only to installment
statements that are sent to a shared NFS drive for later printing. You
can use this field to accommodate high-volume statement runs and speed
up processing by creating multiple XML files. If you specify a number
here, the system automatically appends a sequence number to each file
name during the statement process. If you leave this field blank, only
one XML file is produced when you generate installment statements for
export to a shared network drive.
