If you do not have Third Party Accounting active on your system, you can use this routine to create and maintain invoice charge codes. STORIS provides three standard invoice charge codes: Tax, Freight, and Miscellaneous. You cannot delete these standard records, but you can edit the Description, GL Account, and Rate. You can also add your own invoice charge codes using this screen.

Enter up to 15 alphanumeric characters to identify this new invoice charge, or indicate the existing invoice charge code to be maintained. Click the Search button to choose an existing code from the Read-Only Lookup Window.

For existing invoice charges, the header charge type displays and cannot be edited. For new invoice charges, this field is available and mandatory. click the Arrow button and select the type of header charge from the drop-down list. Currently, the options at this field are the following.

None Selected
FREIGHT
Miscellaneous
Sales Tax

For new invoice charges, you can enter up to 30 characters to describe this charge. You can also edit the description for existing charges. Click the Action button to access the Description Field - Language Translation Entry window.

Indicate the General Ledger account to be used when posting this invoice charge. Click the Action button to access the GL Account Entry Screen. Only the General Cost Center Indicator can be used with this GL account. Note that if you are changing this field for an existing record, a warning is issued that the original GL account may have been used in existing AP bills.

This field is not mandatory. If you leave it blank, the system uses the appropriate GL account indicated on the Accounts Payable tab of General Ledger Assigned Account Settings. The account used is based on the type of charge. For example, a sales tax type invoice charge uses the Sales Tax GL account.

Enter the percentage rate, from 0.0000 to 99.9999, to use when automatically calculating the AP header charge for this Invoice Charge. Entry in this field is not mandatory. If you leave this field blank, and this invoice charge is indicated in Maintain Invoice Charge Table Settings, the rate is treated as zero (0).

If invoice charge settings that you created here exist in open or closed AP bills, you cannot delete them.
